How to plan an incentive trip to Ibiza – step by step in 8 weeks

Successful corporate events don't just happen. They are planned with sufficient lead time, the right partners, and a clear vision of the desired outcome. We'll show you what a realistic planning process for an incentive trip to Ibiza looks like and where the most common mistakes occur.

Weeks 1-2: Clarify goals and budget

Before you even request a location, you should have clarity internally on three things:

What should the event achieve? Motivation, recognition, team building, networking; the clearer the goal, the better the program.

How many people will participate? Even if the number is not yet final: a rough guideline (10–15, 20–30, 50+) determines which locations and formats are even possible.

What is your budget per person? Honesty here saves time for both of us. We can work with a wide range of budgets – but we can't deliver villa experiences on hostel budgets.

 

Weeks 2–3: Determine destination and timing

Ibiza is the destination – great. Now it's about the timing. As described above, we recommend May/June or September for the best combination of weather, price, and availability. During peak season (July/August), you'll need to book earlier and pay more.

Important: Check internal calendars early. Nothing is more frustrating than a perfectly planned event that has to be cancelled three weeks before the date because of a conflict with an important trade fair or the end of the quarter.

 

Weeks 3–4: Develop concept and program

This is the creative part – and the step where we can contribute the most. Based on your goals, group size, and budget, we develop a tailor-made concept proposal: accommodation, activities, catering, transfers, and timeline.

Experience has shown that the best programs always emerge from genuine dialogue. The more we know about the group (age structure, preferences, what went well or poorly at the last event), the better.

 

Weeks 4–5: Obtain quotes and make a decision

We obtain parallel quotes from our partners – venues, catering companies, activity providers, and transport companies. This protects you from overpaying and gives us the negotiating position we've built up through years of collaboration.

You will receive a clear and comprehensive offer with well-defined service packages. Afterwards, we need your decision – or feedback for adjustments.

 

Weeks 5–6: Bookings and contracts

Once the concept is finalized, it's time to book. Especially with venues and villas, hesitation is key. Good locations in Ibiza are often booked months in advance. We coordinate all contracts, review the terms and conditions, and ensure that cancellation policies and payment deadlines work for you.

 

Weeks 6–7: Communication to the participants

An incentive trip is also a communication tool. We help you find the right tone: enough information to build anticipation, but not so much that the element of surprise is lost. Save-the-date, travel information, packing list, transfer details, and clothing recommendations.

 

Weeks 7–8: Fine-tuning and briefing

Over the past two weeks, we've been ensuring all partners are on the same page. We're working on timing sheets, contact lists, and contingency plans. We're preparing a complete run-of-show document so no questions remain unanswered on the day of the event.

 

On the day of the event: We'll be there.

One of us is always on site. Not as a supervisor, but as your extended arm, ensuring that everything goes according to plan. And reacting quickly to unexpected situations without you even noticing.

 

The most common mistake: Starting too late

Let's be blunt: Anyone planning an Ibiza incentive trip for 30 people in August and starting in June will have to make compromises. The best locations, activity providers, and hotels are booked up early. Those who plan 3-6 months in advance have the full range of options.
